Use only synthetic or deidentified course briefs. Do not submit student, patient, clinical, confidential institutional, or other regulated information.
Scope
This notice covers the CopilotRN public site, pilot interest form, and private pilot. The pilot can create a course plan from a synthetic or deidentified brief. It does not accept file uploads.
Information we collect
The pilot-interest form asks for:
- your work email address;
- your institution and selected role;
- your consent to be contacted about the pilot; and
- the source page and campaign parameters associated with the request.
The private preview records the following evaluation data:
- a pseudonymous identifier derived from the invited account;
- the course workspace identity and the approved course brief entered by the participant;
- the model-generated course plan, supplied source descriptors, and graduate-nursing profile;
- run status, model and configuration details, token use, and estimated API cost;
- whether the preview was opened, a workflow stage was viewed, or an action category was selected;
- whether export or feedback controls were used, with a timestamp; and
- the fixed-choice responses submitted through the feedback form.
Faculty edits, locks, and section approvals made after generation currently remain in the browser session and are not saved as part of the model run.
Our hosting and security providers may also process ordinary request information, such as an IP address, browser details, and timestamps, to deliver and protect the site.
How we use it
We use interest-form information to evaluate pilot demand, select and contact potential participants, understand how people find CopilotRN, and protect the form from misuse. We do not sell this information or use it for third-party advertising. The form cannot verify who controls a submitted address. Our first message asks the recipient to confirm interest before we treat the address as verified for pilot outreach.
We use preview events and fixed-choice feedback to measure workflow completion, identify unclear steps, and assess interest in a course pilot. We use approved briefs to request course-plan drafts and use saved plans, run metadata, and cost records to evaluate output quality and operating cost. We do not use these records for advertising or to evaluate individual participants.
Pilot access
The private preview is limited to invited participants. CopilotRN verifies the work email and password issued for the pilot, stores only a one-way password verifier, and uses a secure session cookie to keep an authorized participant signed in.
Service providers and retention
Amazon Web Services hosts the pilot. Anthropic processes the approved course brief and planning context to generate a course-plan draft. We retain pilot workspaces and model-run records for the pilot unless you ask us to delete them sooner. A verified deletion removes the active record; restricted recovery copies may retain it until their routine expiration. Application backups expire after 30 days. Preview events and structured feedback expire after 90 days. Operational and access logs follow the retention settings of the service that creates them.
Access, correction, and deletion
Email privacy@copilotrn.com from the address used on the form or pilot account to request a copy, correction, or deletion of information associated with you. You may also reply to a pilot email. We may need to verify the request before acting on it.
Changes and questions
